Inserting Data From an Image Into Google Sheets

Data can be extracted from images and inserted into Google Sheets using two effective methods: the 'OCR Recognition for Docs, Spreadsheets, PDF' extension and the OCR features of Microsoft Excel 365. We will discuss how to use each method in the following sections.

Method 1: Using the “OCR Recognition for Docs, Spreadsheets, PDF” Extension

Here’s how to extract data from an image using an OCR extension on Google Sheets:

1. Open Your Spreadsheet

Create a new blank spreadsheet by clicking “+.” This can be located at the Google Sheets homepage.

2. Navigate to the "Extensions" Menu in Google Sheets

In the top menu bar, find and click on "Extensions." This is located next to "Tools" and will allow you to manage add-ons for Google Sheets.

3. Search for the "OCR Recognition for Docs, Spreadsheets, PDF" Extension in the Google Workspace Marketplace

Click on "Add-ons" under the "Extensions" menu, then select "Get add-ons." In the search bar of the Google Workspace Marketplace.

Type "OCR Recognition for Docs, Spreadsheets, PDF" and press enter to find the add-on.

4. Install the "OCR Recognition for Docs, Spreadsheets, PDF" Add-on

Locate "OCR Recognition for Docs, Spreadsheets, PDF" in the search results and click on it.

Click on "Install" to start the installation process.

Choose an account you want to use.

Tap on "Continue" to proceed.

Click "Allow" to let the add-on access your Google account.

5. Upload the Image File with Data

With the add-on installed, go to the "Extensions" menu.

Hover over "OCR Recognition for Docs, Spreadsheets, PDF."

Upload the image file that contains the data you want to extract into your Google Sheet by clicking “Upload files.”

Click on "Choose Files" to select your files.

Click on the file you want to use, then click "Open."

6. Review and Edit the Extracted Data

The add-on will process the image and extract the data, placing it into your Google Sheet. Review the extracted data for accuracy and make any necessary corrections.

Method 1: Using Microsoft Excel 365’s OCR Features

Follow the steps below to extract data from a picture using Microsoft Excel 365’s OCR features on Google Sheets.

1. Create a New Workbook on Excel 365

Once Excel is open, click "New" to create a new workbook. This will open on a new tab. You can also open an existing workbook if needed.

2. Insert Data from Picture in Excel

Click on the "Data" tab. Choose to upload an image or use a screenshot. Excel will scan the image and extract the data into a table.

After clicking "Data," select the "Data from Picture" option.

Select the files you want to use, then click "Open."

3. Copy the Selected Data from Excel

From the sidebar that will appear, click on "Insert Data" to insert the extracted data to the spreadsheet.

Click and drag to highlight the cells containing the extracted information. Right-click the highlighted cells and choose "Copy," or use Ctrl + C (Windows) or Cmd + C (Mac) to copy the data.

4. Open Google Sheets in Your Browser

In your browser, open Google Sheets and create a new sheet or open an existing one. Click "+" to open a new one.

5. Paste the Data into Google Sheets

Click into the first cell where you want to insert the copied data, then right-click and choose "Paste," or use Ctrl + V (Windows) or Cmd + V (Mac) to paste the data.
