Time Tracking in Google Forms

Follow the steps below to efficiently create and manage a time-tracking system using Google Forms. 

1. Start Creating a New Time Tracking Form  

Click the plus sign (+) in Google Forms to start a new form. This form will be dedicated to tracking time for various activities.

2. Name and Describe Your Time Tracking Form

In the title field, type "Time Tracking Form" or a name of your choice. Below the title, add a brief description to help users understand the form’s purpose at first glance.

3. Insert Date, Time, and Activity Questions

Use the "Add Question" button to create essential fields. For the 'Date of Activity', choose 'Date' as the type and add a note like "Select the date of your activity."

Then, for 'Start Time' and 'End Time', select 'Time' as the type and prompt users with "Enter the time you started/ended the activity."

Lastly, add an 'Activity Description' field with 'Short answer' or 'Paragraph' as the type, suggesting users "Briefly describe the activity."

4. Ensure All Time Tracking Questions Are Required 

Next to each question, you'll find a toggle for 'Required'. Switch this on to ensure that respondents cannot submit the form without answering all questions. This is vital for collecting complete and accurate data.

5. Personalize Your Form with Custom Colors or Themes

Click the palette icon in the top right corner to explore color themes and background options.

Customizing the form makes it more engaging and can align it with your company branding or personal style.

6. Check Form Layout and Functionality with Preview

Before sending out your form, hit the eye-shaped 'Preview' button at the top. This allows you to interact with the form as a respondent, ensuring all questions are clear and the form functions as intended.

7. Distribute Your Time Tracking Form via Email or Link

After completing your form, click 'Send' at the top right.

You can choose to email the form directly, copy a link to share, or even embed the form on a website. Select the method that suits your audience best.

8. Monitor and Manage Time Tracking Responses

In the "Responses" tab, you can view all submissions. Check this section regularly to track the data collected. You can also toggle between summary views and individual responses for different insights.

9. Export Data to Google Sheets

For a deeper analysis, click the green Sheets icon in the "Responses" tab. This action creates a spreadsheet linked to your form where you can perform further analysis.
