Google Calendar does not offer a feature to share individual tasks directly. Tasks in Google Calendar are typically considered personal and do not have the same sharing functionalities as calendar events. However, you can share your entire calendar which includes tasks.
Follow the process below to share tasks on Google Calendar.
Open your Google Calendar. Click on the gear icon in the top-right corner to access the settings.
In the settings menu, look under 'Settings for my calendars'. Click on the calendar you wish to share. This calendar should contain the tasks you want to share.
In the calendar settings, find the section labeled 'Share with specific people or groups'. Click on 'Add people and groups' to start the process.
Enter the email addresses of the individuals you want to share your calendar with. You can add multiple emails separated by commas.
Select the permission level for each person. Options typically include 'See only free/busy', 'See all event details', 'Make changes to events' and 'Make changes and manage sharing'.
Click 'Send' to share the calendar. The invitees will receive an email with a link to access the calendar.
Check with your recipients to ensure they've received the invitation and can view the calendar.
Now that your calendar is shared, add tasks as you normally would. These will be visible to everyone with access to the calendar.
Although you can share tasks by sharing your Google Calendar, it is important to note that all events and tasks on that calendar will be shared. Hence, it is useful if the calendar is specifically dedicated to a project or team task.
If you need to change who has access or the level of their access and change permissions or remove people altogether, simply follow the process below.
In the Google Calendar settings menu, under 'Settings for my calendars', find and click on the calendar you have shared. Proceed to the 'Share with specific people and groups' section to view the list of individuals with access to your calendar.
Next to each individual's name, you'll find their current permission level. Click here to modify their permissions. Options include 'See all event details', 'Make changes to events', or 'Make changes and manage sharing'.
To revoke someone's access, click the 'X' or 'Remove' option next to their name. This action will eliminate their access to your calendar.
After adjusting permissions or removing users, look for a confirmation prompt, typically labeled "Sharing Settings Saved". This ensures your changes have been successfully recorded.
